The thing every HVAC owner wants

Maintenance plans are the difference between a business that lives off emergency calls in July and one with predictable income in April. They also fill the shoulder seasons, which is when your technicians are otherwise idle and your fixed costs carry on regardless.

The plan sells on certainty rather than savings. What a customer buys is somebody else remembering, plus getting seen first when it fails on the hottest day of the year.

Exclusions prevent more arguments than inclusions

Customers on a maintenance plan often believe it covers everything, so the first repair invoice comes as a genuine shock. Listing what is not included — parts, refrigerant, actual repairs — is what stops that.

Write the exclusions as plainly as the inclusions, and put them in the same document rather than in a separate terms page nobody opens.

Two things this will not claim

It will not present your service intervals as manufacturer or code requirements. How often you visit is your commercial decision; what a manufacturer requires is in their documentation, and the two are not the same thing.

It also will not imply the plan maintains a manufacturer's warranty. Some manufacturers do require documented maintenance, and some do not — that depends on their terms, not yours, and telling a customer their warranty depends on buying your plan is a claim you would have to stand behind.

Renewal terms need checking

If the plan renews automatically, the disclosure and cancellation requirements around that are regulated in many places. The generator writes what you describe; it does not certify that your renewal terms are lawful where your customers live. Get that checked once, properly.
