The most-argued line on any invoice

Nothing on an electrical invoice generates more friction than the callout charge, because it is the one line that buys the customer nothing they can see. The van arrived, somebody looked, and there is a charge attached to that.

The fix is not to hide it or fold it into the labor rate. It is to say what the fee covers, in plain terms, before anybody books. A customer who knows the first thirty minutes and the written quote are included rarely argues; one who discovers a fee on the invoice always does.

Decide what it actually buys

Most disputes come from vagueness rather than the amount. A fee described as 'callout' invites the question of what was called out for. A fee described as covering travel, the first half hour on site and a written quote is a service with a price on it.

Be equally specific about when it is waived. 'Waived if you go ahead with the work that day' is a clear rule. 'May be waived at our discretion' is an invitation to negotiate on every job.

Travel area is the other half

A flat callout fee quietly loses money on the jobs at the edge of your range, and quietly overcharges the ones round the corner. Stating a normal travel radius and what happens beyond it is what stops distant jobs eating the day.

It also gives you a graceful way to decline work that is too far to be worth it, without having to say no.

What this describes

The output sets out what your business charges and when. It does not state what a customer is obliged to pay as a matter of law, because that varies and is not something a template should assert. Have someone local read it before you put it on your site.
